Phoenix Day Executive Director Job Description
Phoenix Day is a nonprofit organization with a mission to support working families in the greater Phoenix valley by providing affordable high quality early childhood education and social services programs, while ensuring healthy child development and outreach programs to the greater community.
The Executive Director reports to the Board of Directors and provides leadership of the highest ethical standards consistent with the organization’s philosophy.
QUALIFICATIONS
· A Bachelor’s Degree with a minimum of 5-7 years of executive management experience, Master’s Degree preferred
· Early education background or experience, preferred
EXPERIENCE
· Excellent skills in fundraising, public relations and marketing
· Experience in building a supportive relationship between the organization, its Board of Directors, its donors and the communities it serves
· Financial and budgeting experience
· A leadership and management style that promotes teamwork, creativity, motivation and consensus building
· Excellent communication, and public speaking skills and experience
· Experience implementing operations and strategic plans for the growth and development of an organization
SUMMARY OF DUTIES and RESPONSIBILITIES
Administration
· Develop an annual calendar that ensures that all issues crucial to the organization are raised and discussed by the Board of Directors in a timely fashion.
· Assist the President of the Board of Directors in the preparation of agendas for board meetings.
· Keep the Board of Directors informed of the status of the organization and all important factors that influence it by a monthly report to the Board of Directors and a weekly report to the President of the Board of Directors.
· Assist the President of the Board of Directors to work with committee chairs to ensure effective committee functions.
· Work with the Board of Directors to assure that the organization has a values statement, vision, mission, short term plan and long term strategic plan that achieves its mission and toward which it makes consistent and timely progress.
· Be responsible for the organization’s consistent achievement of its financial objectives, including submission to the Finance Committee and Board of Directors of a proposed annual budget.
· Actively practice cost containment measures.
· Administer the approved budget.
· Formulate and administer all major projects, with any appropriate support from the committee structure.
· Develop and maintain work flow processes that efficiently and effectively enhance the day to day operations of the organization.
· Prioritize and delegate work functions of the employees.
· Understand and ensure proper adherence to licensing and insurance requirements, tax requirements, polices and procedures of the organization and compliance with all applicable laws.
· Maintain all necessary paperwork in an organized and easily accessible manner.
· Ensure all employees are informed of all requirements and are properly trained in the implementation of the policies and procedures.
· Prepare and deliver annual performance reviews and development plans for all direct reports and from time to time any additional effective feedback to direct report employees to ensure the most effective performance of the same.
Fundraising/Marketing and Public Relations:
· Fundraising is an essential element of the Executive Director’s responsibilities.
· Maintain excellent communication channels with community, donors and prospective donors through newsletters, website, press releases, donor acknowledgments and presentations.
· Establish, implement and maintain a marketing plan for enrollment and a development plan to achieve the budget goals for corporate contribution and grants.
· Keep Board of Directors, Operations/Finance Director and the Chair of the Development/Fundraising Committee informed of all development activities, contributions, donors, and proposals submitted, including production of a monthly report that documents these, monitors progress and reflects achievements.
- Oversee the flow of funds of the organization and ensure that it is consistent with the budget and report monthly to the Board of Directors regarding the same.
Leadership
- Create an environment for success for the organization, its employees, the Board of Directors, the community, donors, prospective donors and the agencies and constituencies with which the organization is affiliated; maintain open communications channels with the same.
· Maintain high standards of conduct and performance for all employees.
- Create training opportunities to help further staff capabilities as allowed by the budget.
· Lead by example in trying to create: an atmosphere of mutual respect, dignity and trust; group cohesiveness and pride; cooperation; good communication; and recognition of individual and team accomplishments/contributions.
Communication
· Serve as the chief spokesperson for the organization, along with the President of the Board of Directors, to ensure that the organization is properly presented to the public and donors.
· Utilize effective public speaking skills to present ideas in an organized, clear and concise manner.
· Provide a consistent flow of information to all involved parties.
· Facilitate communication and problem solving among parties when necessary.
· Effectively hire skilled resources required to support the organization,
· Ensure compliance with employment law guidelines and mandates.
